FootHills Adult Sports Club (“FootHills Adult Sports Club,” “FoHi,” “we,” “us,” or “our”) operates the website foothillsas.com and organizes adult recreational sports leagues, tournaments, and events. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have.
By using our website or registering for our leagues, tournaments, or events, you agree to the practices described in this policy.
1. Who we are
FootHills Adult Sports Club is an adult sports community LLC operating in Spartanburg, South Carolina and Forest City, North Carolina. You can reach us at questions@foothillsas.com with any questions about this policy or your information.
2. Information we collect
Information you give us directly:
- Account information — when you create an account, your name, email address, and a password (passwords are stored only in encrypted/hashed form; we never see or store your plain-text password).
- Registration information — when you register for a league, tournament, or event: your first and last name, email address, phone number, and date of birth (we use date of birth to confirm participants are 18 or older).
- Liability waiver information — your acceptance of our Release and Waiver of Liability, the electronic signature (typed legal name) you provide, and the emergency contact name and phone number you supply.
- Team and participation information — team names, rosters, division/skill level, and game scores associated with your participation.
- Communications — information you provide when you contact us by email or through forms on our site.
- Merchandise orders — when you purchase merchandise, the shipping address and order details (items, sizes, and quantities) needed to fulfill and deliver your order.
Payment information:
- We accept payment for registration fees through PayPal. When you pay, your card or payment details are entered into and processed by PayPal directly. We do not collect, see, or store your full card number, CVV, or banking details on our website or servers. We receive only confirmation of payment and basic order details (such as amount, date, and your name/email) needed to mark your registration as paid. PayPal’s handling of your information is governed by PayPal’s own privacy policy.
Information collected automatically:
- When you visit our website, we and our analytics providers may automatically collect standard technical information such as your IP address, browser type, device information, pages viewed, and referring pages, using cookies and similar technologies (see Section 6).
3. How we use your information
We use your information to:
- Create and manage your account.
- Process registrations and payments for leagues, tournaments, and events.
- Operate events — build rosters, schedules, standings, and brackets.
- Confirm eligibility (e.g., the 18-and-over requirement).
- Maintain the liability waivers you sign and contact your emergency contact in the event of an injury or emergency during an event.
- Communicate with you about your registration, your team, schedules, changes, and club news.
- Respond to your questions and provide support.
- Maintain the security and proper functioning of our website.
- Comply with our legal obligations and enforce our terms and waivers.
4. How we share your information
We do not sell your personal information. We share information only in these limited circumstances:
- Service providers who help us run the club and website, including:
- PayPal — payment processing.
- Automattic / WooCommerce — e-commerce and account functionality on our site.
- Printful — print-on-demand fulfillment. When you order merchandise, we share your name and shipping address with Printful so it can print and ship your order. Printful’s handling of your information is governed by its own privacy policy.
- Hostinger — website hosting and email.
- Google — website analytics and embedded services such as our event calendar.
- Email delivery used to send registration confirmations and invitations.
- Within your team/event — your name (and, for captains managing a roster, limited roster details) may be visible to teammates and to event organizers so teams and schedules can be managed. Public team pages display only a player’s first name and last initial.
- Legal reasons — if required by law, subpoena, or to protect the rights, safety, or property of FootHills Adult Sports Club, our participants, or others.
- Business transfer — if the club is reorganized or its operations are transferred, information may be transferred as part of that change.
Each third-party service provider has its own privacy practices, and we encourage you to review their policies.
5. Data retention
We keep your information for as long as your account is active and as long as needed to operate our leagues and events, comply with legal obligations (including retention of signed liability waivers), resolve disputes, and enforce our agreements. You may request deletion of your information as described in Section 8, subject to records we are required or permitted to retain (such as signed waivers and payment/transaction records).
6. Cookies and analytics
Our website uses cookies and similar technologies to keep you signed in, remember your preferences, and understand how visitors use the site. We use analytics tools (such as Google Analytics) to collect aggregate, statistical information about site usage. You can control cookies through your browser settings; disabling some cookies may affect how the site functions.
7. How we protect your information
We take reasonable measures to protect your information, including:
- Encrypted connections (HTTPS) across our website.
- Storing account passwords only in hashed form.
- Relying on PCI-compliant payment processors (PayPal) so that sensitive card data is handled by the processor and not stored on our systems.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security, but we work to protect your information using appropriate safeguards.
8. Your choices and rights
You may:
- Access or update your account and registration information by signing in to your account or contacting us.
- Request a copy or deletion of your personal information by emailing questions@foothillsas.com. We will respond as required by applicable law. Some information may be retained where we have a legal basis or obligation to keep it (for example, signed waivers and payment records).
- Unsubscribe from non-essential club communications at any time; we may still send you essential messages about your registrations and teams.
Depending on where you live, you may have additional rights under applicable privacy laws. Contact us to exercise any such rights.
9. Children’s privacy
Our leagues and events are for adults 18 years of age and older. Our website and registration are not directed to children, and we do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, please contact us so we can remove it.
10. Third-party links
Our website may link to other sites (for example, our social media pages or partner services). We are not responsible for the privacy practices of those sites, and this policy does not apply to them.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, provide additional notice. Your continued use of our website after changes take effect constitutes acceptance of the updated policy.
